Overview

SAGE entered the tradeshow management arena to assist regional associations and others operating tradeshows in the promotional products industry. We have been managing our own tradeshows for over almost twenty years, including the popular traveling show, SAGE Showcase and the MAPPS by SAGE Tradeshow. We are a technology and marketing company, utilizing and creating technology avenues to meet the unique needs of tradeshows and their planners.

Details

Show Management and Logistics Coordination

SAGE TMS show management begins one year prior to the actual show. Your SAGE TMS account manager will work in collaboration with your Show Chair, Executive Director and committee to ensure that your association's expectations, timelines and budgets are set forth and met. Show management includes the following:

  • Collaborate with Show Chair, Executive Director and Committee to prepare a draft budget based on past years' actuals and implementing any pricing changes or new revenue generating opportunities.
  • Manage contracts entered upon by your association with regard to show to ensure compliance.
  • Coordination of exhibit floor plan.
  • Provide accurate and current exhibitor information for web site promotion and for show program.
  • Coordinate content for show web page.
  • Participate in all site inspections.
  • Coordinates all show events including but not limited to: education, cocktail receptions, opening session.
  • Maintains consistent and clear reporting of status of show registration as set forth.
  • Coordinate placement of orders for electric, telephone, internet, security, furniture, etc. as requested by exhibitors.
  • Coordinate leased space and schedule with facility.
  • Represent your association with Show Chair and Executive Director (if applicable) at pre-convention meetings.
  • Manage operation of all official contractors.
  • Manage room sets, audio visual requirements and food and beverage needs.
  • Work with Executive Director and Show Chair on management of exhibitor floor.
  • Coordination of registration desk.
  • Coordination and scheduling exhibitor move in and out.
  • Coordination of volunteer needs and duties.
  • Development and distribution of exhibition materials.
  • Provide reports of revenue and expenditure as set forth.
  • Provide final registration reports.
  • Review and reconcile all official PPAF show contractor invoices.
  • Negotiate room rate and block at show hotel.
  • Development, implementation and collection of exhibitor and attendee surveys.

Pre-Registration

SAGE TMS online registration process will be available to exhibitors and attendees and will consist of the following features:

  • Internet registration setup and hosting.
  • Distributor registration is integrated into your existing website or stand-alone.
  • Processing of client-provided information via on-line downloads in CSV format (which can be easily converted to Excel or Access databases).
  • Exhibitors will register through an online website with ecommerce capability.
  • On-line editing and database lookup by administrator.
  • Registration confirmation via email which includes barcode for receiving name badges onsite.
  • SAGE TMS pre-registration 800 telephone hot-line for registration status inquiries.

On-Site Registration

Attendees' first impression of your tradeshow will involve an organized and technologically advanced on-site registration process.

  • Distributors and exhibitors will present bar-coded confirmation email received at the time of pre-registration (provides an excellent opportunity for advertising sales).
  • Email confirmations will be scanned and bar-coded name badges will be printed instantly.
  • Two scanners, two laptop computers and one laser printer will be provided for the expedited check in process.
  • One computer and one laser printer will be provided for those not pre-registered.
  • Software developed specifically for regional associations will be used for on-site registration and integrates information collected during pre-registration process as well as expediting the onsite process.

Marketing

SAGE TMS has full access to a marketing department accustomed to the appropriate messages and mediums for the promotional products industry. Versed in the promotion of products and tradeshows in the industry, SAGE applies its full marketing advantage to bring exhibitors and attendees alike to your show.

  • Development of a comprehensive show marketing strategy in promotion of show to include brochures, email campaigns, direct mail and exhibitor materials utilizing your established association database and supplemented with the extensive SAGE database.
  • Assembly and mailing of all show materials.
  • Assist with the development of tradeshow sponsorship packages, marketing and solicitation of said packages.
  • Manage branding and updates of your association website(s) with regard to your tradeshow.

SAGE ShowLink Lead Retrieval System

Airfare Discounts

As an added benefit to your show, through SAGE TMS, you will be capable of offering your exhibitors and any traveling attendees the opportunity of discounted airfare. As part of your agreement with SAGE TMS, we will negotiate this discount through American Airlines to provide the best discount possible to your long-distance travelers.
